Embeds and custom tools

How to embed live content from Figma, Canva, Google Docs or Miro, when to use the Email signature section, and how to upload your own HTML tool, such as a business card generator.

Which option to choose

OptionWhen to use itWhere to find it
Embedded contentThe content lives in another service and should stay up to date in the manual – a slide deck, a Figma file, a spreadsheet.section in the Audio, video and media group
Email signatureA uniform signature that everyone fills in with their name and contact details, then copies.section in the Special group
Custom online toolYour own interactive HTML app – a generator for business cards, banners or name badges.a page type, not a section

Embedding content from another service

  1. Add an Embedded content section.
  2. Paste a regular link from the service into URL for embedding content, for example a link to a Figma file or a Google Slides deck. Do not paste HTML embed code – only the address.
  3. The panel shows a preview. To let visitors open the content fullscreen, turn on Show fullscreen button.
  4. You can add buttons and expandable content below it. Save and switch the section to Active.

Supported services: Canva, Figma, Google Docs, Google Sheets, Google Slides, Google Drive folders and PDFs, Loom, Miro, Pitch, PDF files and every service that supports oEmbed, such as YouTube, Vimeo or Instagram.

The Email signature section

Paste the signature’s HTML into the Code field of the Email signature section. To mark the parts visitors should edit (name, position, phone), select the text and click Mark editable item in the toolbar above the field. Marked parts are highlighted in purple.

Images for the signature, such as the logo, can be stored in the Files field and referenced in the code. Visitors then edit the signature on the site and copy it into their email client.

Uploading a custom online tool

A custom tool is a separate page of the manual on which your HTML app fills the whole content area. It is available in every edition of Visualbook.

  1. Create a new page of the Custom online tool type – see Create a new page.
  2. Drop the HTML file and everything it needs – CSS, JavaScript, images, fonts – into Tool files. Subfolders do not matter; links in the HTML are matched by file name.
  3. Visitors see the file named index; if there is none, they see the file at the top of the list. Drag files to reorder them.
  4. Review the Tool check section – it flags missing files, references starting with a slash, or two files with the same name.
  5. Optionally fill in AI rules specification: allowed colors, ranges, forbidden combinations. Visitors never see this text. Your AI agent connected through the AI connector reads it so that it can create graphics by the same rules outside the tool.

What a tool can and cannot do

The tool runs in an isolated frame, separated from the rest of the manual and from the panel sign-in. This brings the following limits:

  • localStorage is replaced with temporary memory – data lasts only until the tab is closed.
  • indexedDB is not available; store data that must persist elsewhere.
  • Write file references as relative paths, without a leading slash.
  • A tool on a locked page stays locked – the same password or sign-in applies to it as to the page.

Questions and answers

Why does an embedded Google document only show a sign-in prompt?

The document is not shared with everyone who has the link. Change the sharing settings in Google and reload the manual page.

Can I paste HTML code straight into a section?

Not into Embedded content, which accepts only a link. Signature HTML belongs in the Email signature section; upload a whole app as a Custom online tool.
